Hermes Advisory B.V., from here to be called: “Hermes”, Postbus 192, 1250 AD Laren, registered at the Chamber of Commerce with number 54071410, is responsible for processing personal data as stated in this Privacy Statement.

Hermes considers careful handling of personal data of the utmost importance. Personal data is therefore carefully processed and secured by us. This privacy statement tells you which personal data we collect and use and for what purpose. In our processing, we comply with the requirements of the applicable privacy laws and regulations, including the General Data Protection Regulation (AVG).

Types of personal data

Hermes processes your personal data when you use our services and/or because you provide it to us yourself and uses only that personal data which is necessary for the proper provision of services and business operations.

Other personal data that you actively provide for example by entering on our website, in correspondence and by telephone.

Purpose of processing personal data

Hermes processes your personal data for the following purposes:

(a) General client contact.
Personal data is used for the formation of the contract, for example to provide and invoice for the services you have chosen.

b) Questions and complaints.
The data may also be used by us for handling questions and/or complaints and providing information.

c) Email marketing
If you have agreed, we will use your email address to send electronic newsletters and other electronic messages about our services. Every electronic message you receive from us includes an option to unsubscribe.

(d) Laws and regulations.
Finally, we use personal data to comply with applicable laws and regulations.

Retention periods

Hermes will not retain your personal data for longer than is strictly necessary to fulfill the purposes stated above and to comply with laws and regulations. After it is no longer necessary to keep your personal data, we will delete it.

Sharing personal data with third parties

We may use other service providers who will act as processors, exclusively on our behalf, to process personal data. We enter into a processor agreement with this processor which obligates the processor to comply with the provisions of this Privacy Statement.

We do not provide personal data to third parties, unless we are required to do so by a statutory provision or a court or regulatory body ruling, or if this is necessary in the interests of preventing, detecting or prosecuting criminal offenses (such as fraud, deceit or embezzlement) or if you have given your consent.

Rights of data subjects

You have certain rights regarding your personal data. This applies in particular to the rights of access, rectification, restriction, objection, deletion and data portability. To ensure that the request for inspection is made by you, we ask you to send a copy of your proof of identity with the request. In this copy, black out your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but in any case within four weeks.

We respect the privacy of every data subject and ensure that personal data is treated confidentially and with the utmost care. Access to personal data is restricted to prevent unauthorized access, modification or misuse and is only permitted to our employees on a need-to-know basis.

Hermes takes the protection of your data seriously and takes appropriate technical and organizational measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. The security measures include:

• logical access control, using passwords;
• security of network connections via TLS technology;
• purpose-bound access restrictions.
